About the job

The Risk, Compliance and Claims Assistant Manager plays a crucial role in supporting Southwestern Railway's (SWRL) mission by ensuring effective governance and compliance throughout the organisation. This role encompasses a variety of tasks that require close collaboration with stakeholders across the Finance Directorate and the broader business environment. You will be pivotal in planning, monitoring, and coordinating risk and governance in line with SWRL's and DfTO requirements, ensuring timely and precise fulfilment of these responsibilities. To process claims, ensuring they are resolved efficiently and accurately by gathering necessary information, maintaining accurate records, and communicating with all parties involved.

 

Your main responsibilities will be:

Risk and Compliance Management

  • Support quarterly risk assessments, documentation, compliance checks, and reporting.
  • Conduct data entry, disseminate risk review requests, verify mitigation strategies, and develop the risk spreadsheet to comply with the new DfT reporting standards.
  • Report on and track risk actions to enhance the existing risk management program.
  • Collaborate with analysts to produce risk management data that facilitates strategic improvements.
  • Monitor the Gift & Hospitality inbox, addressing inquiries, and distributing forms for staff completion.
  • Maintain the Gifts & Hospitality register, providing timely reminders to HQ PAs.
  • Assist with the quarterly Control Assurance Questionnaire, ensuring accurate tracking of responses.

Policy Compliance and Training

  • Update the Policy Advisory Group timetable, agendas, Teams channel folders, and documentation for meetings.
  • Monitor and update the Policy spreadsheet to ensure it remains current and includes standard document control protocols for each policy.
  • Engaging with the Learning and Development team to assure that training data related to policy compliance is readily available for all business units.

Claims Support

  • Address inquiries regarding business insurance policies and assist with legal claims processes.
  • Monitor and process claim correspondence, maintaining the claims register and creating organised files in compliance with GDPR principles.
  • Provide administrative support to the Claims Manager and Claims Investigation Manager as needed, ensuring that all court summons documentation is promptly processed, recorded, and acted upon.
  • Extract information and prepare routine reports as required by the Claims Manager and Claims Investigation Manager for distribution to stakeholders.

Reporting

  • Prepare presentation slides for inclusion in departmental Executive and Board reports.

You'll need to be:

  • Proven ability to consistently produce high-quality work and meet demanding deadlines.

  • Strong communication skills, fostering collaborative relationships with business partners and stakeholders.
  • Capacity to lead, by example, with strong ethical standards and influence colleagues positively in all interactions.
  • Excellent interpersonal and presentation skills, including public speaking and communication of ideas and solutions.
  • Exceptional organisational skills with acute attention to detail.
  • Prior experience in an administrative or office-based role.
  • Self-motivated and able to work autonomously.
  • Trustworthy with a strong commitment to confidentiality.

About the location

Overline House is conveniently situated overlooking Southampton Central Station and is easily accessible by public transport. The station is very local to West Quay, a hub for retailers and restaurants, and provides an excellent link between London, Coastal areas and the Isle of Wight.

Working pattern

Working an average of 37 hours per week over 5 days
