About the job

The Knowledge and Information Analyst will assist the Senior KI Manager in developing, socializing and implementing data governance across SWR, aiding the business to utilize their data whilst maintaining compliance. This position will involve liaising directly with stakeholders and requires that you establish and manage expectations within the business with the support of the Senior KI Manager. Travel across SWR offices may occasionally be necessary but is not a key part of this role. Other key activities include documentation skills, including use of tools such as MS Visio, explaining best practice and guidance to the business and capturing information from business colleagues to enable documentation to be generated, or recommendations formulated. The role will require the post holder to be self-motivated. The role will require the post holder to support and improve data governance and KIM processes enabling the business to realize more value from SWR data whilst ensuring data security and data privacy compliance is maintained.

Your main responsibilities will be:

  • Work collaboratively under the guidance and direction of the Senior KI Manager to deliver the following tasks and artefacts based on the agreed priorities.
    • Data Modelling – produce and maintain data models for new and existing systems, to the agreedstandard
    • Data Flow Diagrams - produce and maintain data models for new and existing systems, to theagreed standard
    • Understanding Application use – document the main purpose for the system, key functions of the system, to the agreed standard
    • Understanding business criticality – in conjunction with the business, IT security, ServiceCatalogue owner to document the business criticality of the system, to the agreed standard
    • Understanding safety criticality - in conjunction with the business, IT security, Service Catalogue owner to document the business criticality of the system, to the agreed standard
    • Draft guidance on use of MS Teams, SharePoint, OneDrive, Outlook and data sharing platforms (Box, Google Drive, etc.) · Work with the Service desk to support creating Knowledge articles related to KIM and Data.
  • Work with Data Owners, Data Stewards and business SMEs to elicit the information required to produce all artefacts.
  • Understand and be able to signpost to and articulate the agreed Data Governance Framework to colleagues.
  • Ensure the Senior KI Manager is informed of all activities related to workload and if necessary, escalate risks and issues to the Senior KI Manager for support or resolution.
  • Be adaptable to changing priorities and indicate where changes in priorities will impact on planned deliverables.
  • Be confident in challenging the Senior KI Manager, Data Owners, and Data Stewards in an appropriate way to ensure the information collected is timely, accurate and relevant.
  • Work effectively with the IT Team and with colleagues in other areas such as the DCO, data analytics professionals and the business to complete tasks

 

You'll need to be:

  • Experience in a similar role and/or a willingness to learn
  • Proven experience working with knowledge management technologies and/or processes

Desirable 

  • Experience of M365 (Teams, Outlook, SharePoint, OneDrive, Copilot) and cloud-based dataenvironments
  • Experience in information and knowledge management processes
  • Experience of GDPR, FOI requests, retention policies etc.
  • Understanding of Data Loss Prevention
  • Use of tools such as Microsoft Visio in producing data flow diagrams and data models
  • Familiarity with working in a structured IT governance environment
  • A minimum of 2 years' experience working in a complex IT / knowledge and information environment.

About the location

South Western Railways HQ is based on the 4th Floor at South Bank Central, a stone's throw from the River Thames and a 10 minute walk from our busiest station, Waterloo. It is local to many well-known attractions, restaurants and retail facilities and is easily accessible by public transport. 

Working pattern

Working an average of 37 hours over 5 days.
