About the job

To support the Depot Management teams in providing general administration assistance as required to meet the needs of the Fleet business.

Your main responsibilities will be:

  • Provide general admin support for designated Fleet Depot and and associated satellite locations as required
  • Undertake note taking at fact finding interviews, team meetings and any locally organised meeting where required to attend as note taker
  • Ensure all correspondence is dealt with and the depot filing system integrity is maintained
  • Enrol depot staff on training courses and issue joining instructionsas required
  • Ensure all staff training files are maintained and kept up to date as required
  • Carry out payroll procedures for all depot staff as required
  • Produce staff baseline rosters
  • Provide PSE absence prints as required and update AP action stagesto the HR Business Partners with employee relations case management
  • Where authorised to do so enter data into designated company systems e.g. stores ordering, invoiving etc
  • Additional tasks as specified by local manager

You'll need:

  • Experience of working in a fast paced and challenging office environment.
  • Possess a flexible approach in ensuring customer needs are met.
  • Preparedness to travel across the South Western Railway network to attend meetings as and when required.
  • Demonstrate strong time management, communication and interpersonal skills.
  • Conscientious with an attention to detail particularly in relation to producing formal documentation in a variety of context.
  • Must demonstrate a willingness to learn new systems, skills and behaviours and to acquire job related formal qualifications as and when required.
  • Experience in appropriate IT packages including Microsoft Word, Excel and PowerPoint.
  • A working knowledge of MS Outlook an advantage

About the location

Fratton Depot is a Traincare facility adjacent to Fratton Station. The depot teams are responsible for the maintenance and presentation of class 444/450's, to ensure a safe, clean and reliable service for our customers. The depot has two pitted maintenance roads and a refuelling station for Great Western's 166/5 services and South Western Railway's 159/8's. Recent enhancements have increased our depots capacity enabling South Western Railway to run reliable services, more frequently.

Working pattern

You will work an average of 37 hours per week across 5 days per week, typically; 08:30 - 16:00, Monday to Friday.
